I am in search of a driven, passionate and dedicated ‘back of house Manager’ with a proven track record for this rather diverse and extemely challenging position on a privately owned Island in the Seychelles. Please read the the information carefully and please ONLY reply if you meet all requirements as set out.
ENSURE EFFICIENT AND PRODUCTIVE MANAGEMENT OF STAFF
Appointment and administration of the BOH staff
Continuous training, monitoring and improvement of the standards throughout the BOH departments
Conduct regular departmental staff meetings
Ensure on-going succession planning and mentoring for all positions in your department.
Ensure compliance with the Training and Localisation Policy and assist with any internal training required
Ensure to encourage staff to participate in training
To manage departmental staff outside of the work place and be responsible for their welfare at all times
Ensure that staff have access to the minutes of the Welfare Committee and assist in addressing any concerns raised
Encourage your staffs enjoyment of the island by promoting extra mural activities, welfare and social interaction in the village
Ensure to support HR by being creative in coming up with welfare initiatives and supporting such
Ensure to encourage staff to participate in community based projects
Ensure to comply with the payroll policy and procedure and submit payroll information timeously and accurately
TO ALWAYS OFFER A SERVICE TO GUESTS WHICH EXCEEDS THEIR EXPECTATIONS
To set and update operational standards with the team and ensure that they are maintained
To continually train staff in the delivery of the operational standards
To monitor the delivery of the service to guests
To revise existing standards continually with new and better service ideas
TO MAINTAIN ALL ASPECTS OF THE ISLAND FACILITIES AND EQUIPMENT
Align the departments standards and concept to the Island brand and values
Refine the standards and constantly expand on the programs realted to MTC, Environment, Landscaping and Security
Carry out a planned preventative maintenance program for all plant, equipment and buildings as established
Maintain technical standards and quality control prodedures in all areas of island maintenance
Ensure the maintaining records, plans and drawings on all underground and above ground services and infrastructure arre carried out
Ensure the MTC Manager follows the correct procedures in the ongoing functioning and maintaining of the island generator plant
Manage the correct procedures are adhered to by staff and guests with regards to the sewage plant
Manage the conservative usage of the island’s water resources
Manage the conservative usage of the island’s energy resources and ensure energy saving initiatives are implimented
Assist in the development and management of the alternative energy programs on the island
Maintain correct monitoring of all water and energy usage as per set standards
Ensure the correct maintenance is followed with regards to all island vehicles including buggies, gators and heavy duty vehicles in accordance with maintenance programs
Maintain the islands road network to an acceptable guest comfort level and as defined by maintenance standards
Ensure proper planning with operational management to minimise impact on guests during maintenance programs
Ensure the activities centre equipment and machinery in accordance with a preventative maintenance program (including boats)
NEW WORKS AND EQUIPMENT
Ensure that all new equipment is correctly recorded and commissioned on the island
Manage all new works and repairs within the existing architectural and design concept of the Island
Ensure that all new works are commissioned within the correct environmental policies and procedures framework as defined by The Island
GUEST INTERACTION AND EDUCATION
Offer presentations to guests on request
Interact with guests on an informative basis as required
MANAGE OR ASSIST IN VARIOUS ISLAND LOGISTICAL OPERATIONS
Ensure the correct waste management procedures being adhered to on the island
Conduct regular checks to ensure no evidence of pests on the island
Manage the loading and offloading of barges as required
TO ENSURE THE ISLAND’S ENVIRONMENTAL PRACTICES ARE CARRIED OUT AND EXPANDED ON AT ALL TIMES
Ensure the ongoing development of the island in strict accordance with the Noah’s Ark concept
Ensure the development of strict preventative measures and procedures to ensure that the island remains rodent and invasive specie free
Assist in the development of presentations and educational methods to educate and keep guests and staff informed on the environment and conservation on The Island
Always look at ways to improve our understanding of the environment and its protection and best ways to pass this on to our guests and staff
Ensure that the Environmental and Conservation standards are adhered to by all guests and staff on The Island
Ensure adherance to and awareness of the requirements in energy conservation
ENSURE EFFECTIVE MANAGEMENT OF THE TERRESTRIAL ENVIRONMENT ON THE ISLAND Assist in managing the relationship with local NGOs and government bodies with regards to the project as agreed to in MoU
Assist in managing the relationship with the PCA as agreed to in the MoU
Assist in development of a Conservation Management Plan for The Island
Ensure alignment of the Environmental standards and concept to the Island’s brand and values
Assist in refining the standards and constantly expand on the rehabilitation initiative
ENSURE EFFECTIVE MANAGEMENT OF THE MARINE ENVIRONMENT AROUND NORTH ISLAND Assist in the development of a Vegetation Management Plan for North Island
Assist in defining new landscape zones and the management of alien plant eradication within these zones
Assist in regular assessment of the defined marine procedures and continuously expand on the detail
Ensure regular interaction and sharing of information with local partners
ENSURE THE ISLANDS INVOLVEMENT IN ALL ENVIRONMENTAL AND CONSERVATION FORA AT A NATIONAL LEVEL
Ensure an ongoing process to identify and monitor all marine species that occur around The Island
Continue working on the goal of developing a Marine Park around the Island
Ensure that Island remains abreast of all environmental and conservational developments in Seychelles
Ensure The Islands involvement with all levels of partnership including government, private, NGO, educational, international and individual
LANDSCAPE DEVELOPMENT IN DEFINED ZONES ON NORTH ISLAND
Align the landscape standards and concept to the Island’s brand and values
Refine the standards and constantly expand on the rehabilitation initiative
Development of an island vegetation management plan
Define new landscape zones with in the framework of the vegetation management plan
Develop an endemic plant nursery as defined in the management plan
Ensure the constant propogation and maintenance of the plant species and their numbers in the nursery
Manage the introduction of plant species in defined zones as laid out in the management plan
Develop and maintain a vegetable garden as required by the guest and staff kitchens
Develop and maintain a herb garden as required by the guest and staff kitchens
Develop and maintain a flower garden as required by the Executive Housekeeper
Maintain all walking paths on the island to be free of debris and easily accessible by guests
Maintain the cleanliness of the beaches on the island
LANDSCAPE MAINTENANCE IN DEFINED ZONES ON THE ISLAND
Ensure that all developed landscape zones are handed over in accordance with a set of defined standards
Assist in aligning the landscape standards and concept to the Island’s brand and values
Assist in refining the standards and constantly expand on the rehabilitation initiative
Maintain all landscape zones to a defined set of standards
Ensure that all guest villas are prepared for arriving guests
Ensure that all guest areas, including main pool and spa are maintained and presented at all times
Front areas and beach in front of restaurant to be cleaned and raked every morning
Establish and maintain an underground irrigation network in order to meet with the set standards
Ensure that all coconut trees with in the perimeter of the guest and staff areas are decoconutted on a regular basis to ensure a safe area
MANAGE OR ASSIST IN VARIOUS ISLAND LOGISTICAL OPERATIONS
Ensure the daily clearing of all waste stations
Ensure the adherance to the island waste separation and recycling program
Manage the removal of all waste off the island
Conduct pest control program as defined in standards
Conduct regular checks to ensure no evidence of pests on the island
Manage the loading and offloading of shopping boats as required
Assist in the loading and offloading of barges as required
Manage all loading and offloading of boats and barges in accordance with the environmental and safety policies of the company
MAINTAIN SAFETY PROCEDURES ON NORTH ISLAND
Create a safety and security policies and procedures document
Constantly revising the policies and procedures
Ensure staff are ofe with all safety procedures on The island
Ensure identification of unsafe conditions and unsafe acts
Ensure identification of unsafe acts
Ensure Helicopter attendant training is current
Ensure all activities undertaken are conducted following correct safety procedures
Secure all stock holding areas
Vacant Villa checks and sporadic hotel checks
Spot checks on bars and mini bars
Baggage Checks on all staff arriving on North Island
Ensure baggage checks are carried out in the rat room as per procedure
Covert and Overt Surveillance over island and surrounds
Ensure all vessels are searched
Securing of Valuables
Regular Staff house searches as required
Marking of Assets as required
To ensure all staff are trained and inducted into the North Island Gator training program
CARRY OUT INVESTIGATIONS FOR ALL SAFETY AND SECURITY ISSUES ON NORTH ISLAND Compile incident reports and communicate to all HOD’s on a need to know basis.
Ensure relevant statements are taken within 24 hours of incident occuring
PROPER MANAGEMENT OF THE ANNUAL OPERATIONAL AND CAPEX BUDGETS
The management and development of the financial systems and controls in the BOH departments
To prepare budgets annually within framework and timetable provided by the Finance Department
To manage operational monthly expenditure within the annual budgets
To manage CAPEX monthly expenditure within the annual budgets
To report to Finance on operational information required for the monthly pack (including stock reports)
TO MANAGE ORDERS WITHIN THE BUDGETS AND SYSTEM DEVELOPED FOR THE ISLAND
To understand and respect the ordering system
To manage orders within the Budgets, for each month and accumulated year to-date
To endeavour to improve on prices and quality from supplier
To ensure that all orders are received in good order on the Island.
To ensure that all goods received tie up to the supplier invoice.
To ensure that we only pay for goods received.
TO PRODUCE MONTHLY OPERATIONAL INFORMATION
Specific operational information required by finance to be delivered to Finance on set dates
Monthly operational report to be generated (including financial commentary)
TO ENSURE PROPER STOCK CONTROL PROCEDURES ARE IN PLACE
To ensure an agreed stock system is been implemented governing:
• Purchasing
• Issuing
• Storing
• Counting
• Obsolete stock
To count and record accurately all stock monthly, incorporating the following details
• Stock item
• Stock location
• Stock condition
• Stock quantity
• Stock value
To submit the stock sheets to Finance
To ensure that all items received during the month are recorded
To ensure that all prices are current
To ensure consumable stock report is always updated
To ensure that orders are being placed by using the automated buying system
Ensure that BIN card system is being adhered to in all storage centres
Ensure that opening and closing stock systems are adhered to for each shift change
PROPER MAINTENANCE OF OTHER ASSETS INCLUDING
To have set standards for the corrective and preventative maintenance procedures for each asset under management
To have key staff members responsible for certain pieces of equipment
To undertake proper maintenance of the assets
To record in a register the asset under management
Count Assets regularly
Dispose of assets in accordance with system in place
HYGIENE, HEALTH AND SAFETY
Maintain health, safety and hygiene standards in the departments work areas to recognised international levels
Ensure that all safety procedures are adhered to when operating departmental equipment
Ensure that the Emergency Response Plan is updated on an annual basis and that the recommendations are communicated and the areas of concern are actioned
Ensure that all staff are aware of and have access to the Emergency Response Plan
Ensure that the teams participate in hygiene, health and safety training
Ensure that the required staff receive first aid training on a bi-annual basis
ENVIRONMENTAL COMMITMENT
Ensure that all teams receive a full company environmental induction and their departmental induction
Ensure that all teams understand the environmental standards and policies
Ensure that teams are complying with their environmental duties and responsibilities in their job descriptions/KRAs
Ensure that environmental policies and intitiatives are supported – and encourage staff to participate in such
THE NETWORKING AND BUILDING OF RELATIONSHIPS
Ensure building of relationships with the Seychelles community and Government
Ensure building of relationships with The Island creditors, suppliers and other stakeholders of the business
TO REPORT INCIDENTS OF WHAT EVER NATURE TO THE GM AT THE EARLIEST POSSIBLE MOMENT AND TO MANAGE THE INCIDENTS IN LINE WITH THE SYSTEMS SET OUT BY THE SECURITY OFFICER
To be familiar with and manage the systems involving the handling and reporting of incidents of whatever nature (Fire, safety, health, accident etc)
To ensure incidents are communicated to the GM at the earliest possible moment
To implement action to prevent similar incident
This is an extremely diverse appointment and you need to cover all areas of the back of house; Maintenance, Stores, Mechanics, Generator plant and Energy saving, Manage the waste and the LANDSCAPING. Whilst we have Mechanic’s and Landscapers you will need an in depth backround of ALL areas to manage your team.
